AI Receptionist in Australia: Costs, Providers and What It Misses (2026)

An AI receptionist is an AI voice agent that answers your business phone 24/7, talks to callers in natural language, answers common questions and books appointments into your calendar. In Australia, plans start from about A$44 to A$149 a month depending on the provider and how many calls you get. It is a strong fix for missed calls, but most AI receptionists stop at the end of the call, so leads that don't book on the spot still need follow-up.

This guide explains what an AI receptionist does, what it costs in Australia, how the local providers compare, and the gaps you should check before you sign up. We build lead response systems for service businesses, so we will also tell you when an AI receptionist is enough on its own and when it is not.

What is an AI receptionist?

An AI receptionist answers inbound calls with a natural-sounding voice, any time of day. A typical one can:

  • Answer every call, including at night, at weekends and when your team is busy on other calls.
  • Answer common questions about your services, prices, hours and service area from information you give it.
  • Take the caller's details and the reason for the call.
  • Book, move or cancel appointments in a connected calendar.
  • Transfer urgent calls to a person, or send you a summary and a recording.

It replaces voicemail and the "sorry we missed you" problem. For tradies and small service businesses, where the person who would answer the phone is often on a job, that alone can be worth the subscription.

How much does an AI receptionist cost in Australia?

Most Australian AI receptionists charge a monthly subscription that includes a set number of calls or minutes, with extra calls or minutes charged on top. Some add a one-off setup fee for building the call scripts and integrations. Published entry prices we found in October 2026:

  • Johnni: from A$49 a month plus GST month to month, or A$44 a month paid annually, with a 7-day free trial. SMS is an add-on and CRM or job-software integrations are quoted separately (Johnni).
  • Jodie: A$99, A$199 or A$399 a month, with unlimited calls and no setup fee; bookings and call transfers start on the A$199 plan, according to Jodie's own guide (Jodie).
  • AiDial: A$149 a month for 60 calls (then A$2.49 a call) or A$249 for 150 calls, according to AiDial's own comparison (AiDial).
  • RingCentral AIR: about A$62 a month for 100 minutes, then about A$0.80 a minute, as listed in AiDial's comparison.
  • Sophiie: figures differ between sources, from a A$99 starter plan with 30 calls to around A$300 a month plus a setup fee in older comparisons. Check directly before you compare.

Prices change often and are quoted differently (per call, per minute, unlimited, with or without GST), so compare at your own monthly call volume, not the headline price. A business taking 100 calls a month will usually pay somewhere between about A$100 and A$350 a month before any setup fee.

What an AI receptionist does well

  • No more missed calls. Every call is answered in the first ring, including after hours.
  • Instant booking. Callers who are ready can book while they are on the phone.
  • Consistency. It asks the same questions every time and never has a bad day.
  • Cost. It is cheaper than a part-time receptionist or most human answering services for the same hours of cover.

If your problem is "we miss calls while we are on the tools or with clients", an AI receptionist solves most of it.

The gap after the call: what most AI receptionists miss

Phone calls are only part of how leads reach you, and the call is only the first step. Before you choose a provider, check these six gaps:

  1. Leads that don't call. Web forms, Facebook and Google lead ads, website chat and Instagram messages often bring in more enquiries than the phone. A receptionist that only answers calls leaves those waiting.
  2. Leads that don't book on the call. Many callers are still comparing options. Without an automatic SMS and email follow-up over the next days, they quietly go to whoever follows up.
  3. Qualification against your criteria. Answering questions is not the same as checking budget, location, timing and fit, then sending only the right leads to your calendar.
  4. Your CRM. If call details stay in the receptionist's own dashboard, nobody sees the full history of the lead, and nothing triggers the next step.
  5. Missed-call text back. If a call does drop or the caller hangs up, an instant SMS ("Sorry we missed you, how can we help?") recovers many of them.
  6. Measuring it. You should be able to see, every week, how many enquiries came in, how fast each got a real reply and how many booked.

None of this is a criticism of AI receptionists. They are built to answer calls, and they do it well. The question is whether answering calls is your whole problem.

AI receptionist vs a lead response system: which do you need?

  • An AI receptionist is enough if most of your enquiries come by phone, callers usually book on the first call, and someone in your team already follows up the rest within the hour.
  • You need a full lead response system if your leads come from forms, ads and chat as well as calls, many leads need a few follow-ups before they book, or you can't say how fast every enquiry is answered today.

A lead response system includes the receptionist's job (answering and booking) and adds the rest: a reply to every channel in under a minute, qualifying questions, CRM updates and follow-up until the lead books or says no. That is what our Lead-to-Revenue™ System does for Australian service businesses. The research behind it is simple: the faster a lead gets a real reply, the more likely you are to reach and qualify them, as we explain in the 5-minute lead response rule.

How to choose an AI receptionist: 8 questions to ask

  1. How is it priced at my call volume (per call, per minute or unlimited), and is GST included?
  2. Is there a setup fee, and what does it cover?
  3. Can it book directly into my calendar, and transfer urgent calls to me?
  4. Does it send an SMS after the call, and after a missed call?
  5. Does it connect to my CRM or job management software, and what does that cost?
  6. Can I change what it says myself, or do I need to ask the provider?
  7. Does it tell callers they are speaking with an AI and that the call is recorded? Call-recording consent rules differ between states, so check what the provider does.
  8. Where is call data stored, and how is it handled under the Australian Privacy Principles?

Frequently asked questions

An AI voice agent that answers your business phone 24/7, answers common questions, takes details and books appointments into your calendar, and transfers urgent calls to a person.

Published entry prices in October 2026 ranged from about A$44 to A$149 a month, with extra calls or minutes charged on top and sometimes a setup fee. At around 100 calls a month, expect roughly A$100 to A$350 a month before setup.

Usually yes if you miss calls while you are busy or after hours, because it answers every call and can book on the spot. It is less useful if most of your leads come from forms, ads or chat rather than the phone.

Most stop at the end of the call. They often don't follow up by SMS and email when a caller doesn't book, don't reply to web forms or ad leads, don't qualify against your criteria and don't always update your CRM.

An AI receptionist answers instantly, costs less for 24/7 cover and can book appointments. A human answering service gives callers a person. Neither usually handles follow-up or non-phone leads.

Good providers tell callers they are speaking with an AI assistant and that calls may be recorded. Check how each provider handles disclosure and call-recording consent, as rules differ between Australian states.
